What should happen after a website inquiry?

A website inquiry is a message someone sends through your site to ask about your services, availability or pricing. It is a request for information, not a confirmed booking. After a successful submission, confirm it arrived, make sure someone owns the reply and give the person a clear next step.

Start with the message you need to answer

Someone has read your services page, decided to ask a question and filled out your form. You might be with a client, teaching a class or done for the day. You care about answering. You also need a way to find that message when you are ready.

Before adding more tools, write down what happens today. Where does the inquiry go? Who checks it? What does the person see after submitting? When do you reply? If you cannot answer one of those questions, start there.

You do not need a complicated setup to answer a small number of inquiries well. A form, a checked inbox and a clear responsibility can be enough. The important part is knowing which step actually happens.

Confirm the submission, then set an honest expectation

A receipt tells someone their submission arrived. A personal answer addresses their question. Decide how you will provide both, and keep the wording accurate.

W3C recommends clear success feedback and understandable error messages that explain how to correct a submission. See its guidance on form notifications.

Do not say a message was received unless the form has confirmed a successful submission. If you also send an email receipt, check that step separately. A visible thank-you message does not prove that an email arrived.

Sample inquiry receipt: This is example wording to adapt after checking your own process.

Thanks for your inquiry. Your message has been submitted. This automatic receipt confirms the submission. A personal reply will follow after I review your question. If you need to add anything, reply to this email.

Only include that last sentence if replies reach an inbox you check. If you can reliably answer within two working days, say so. If you cannot, leave out the deadline until you have agreed a realistic one.

How to reply to a website inquiry personally

Read the actual question before choosing a template. Answer what you can confirm, then ask for the smallest detail needed to continue. You do not need to send someone to a call just to answer a straightforward question.

Example when you need more information: Replace the bracketed details and use it only after reading the inquiry.

Hi [first name]. Thanks for your message about [request]. Before I can recommend the next step, could you send [one missing detail]? I’ll use that to check the scope and reply with what I can help with. Thank you.

If they asked for a price or availability and you can confirm it, answer that first. If you cannot, explain what you need before quoting. Keep any promised reply date realistic.

If the message is already answered but you are waiting on them, note the next action and choose when to check again. Stop any automatic follow-up when they reply or ask you to stop.

Give each inquiry an owner and a next action

Choose one place where you can see unanswered inquiries. That might be your inbox or a simple contact list. The name of the tool matters less than whether you use it.

  • Keep the person's name, reply address, question and submission date together.
  • Choose who reviews the inquiry and who covers absences.
  • Record the next action, such as answer a question or offer a call.
  • Mark it answered only after the personal reply has been sent.
  • Decide when to check again if you are waiting for their answer.

Ask for the information you need for that first response. You can collect more detail later if the person chooses to continue.

Offer booking when it is useful

If the question needs a conversation, send the relevant booking link with a short explanation of the call. Check the time zone, available times and confirmation before recommending that link.

Keep the status clear. Sending a booking link does not mean a call is booked. A booking confirmation should name the appointment and explain how to change it if that option is available.

Our work for Integrity 444 LTQS included website pages, a quiz, guide delivery, booking and reminders. Those are separate steps to check. Your inquiry process may only need two or three of them.

Use this inquiry check before launch

Use designated test details and a test mode where available. Agree any real email or booking test with the account owner first. Keep test activity separate from client records.

  1. Submit a valid inquiry on desktop and on a phone.
  2. Try an incomplete form and check that you can understand and correct the problem.
  3. Confirm the saved question and reply address match what you entered.
  4. Check the receipt, the owner notification and the inbox used for replies separately.
  5. Check a repeat inquiry and decide how it should be handled.
  6. If booking is included, check confirmation, reminders and cancellation.
  7. Confirm a person can see and handle a failure.

Write down what passed and what still needs fixing. Do not treat a saved setting as proof of delivery.

Fix the smallest missing step first

If your form works and you mainly need booking emails, our Follow-up emails service is $297 for one offer, calendar and account. It includes an inquiry reply, booking confirmation, email reminders and a day-after follow-up. SMS and new calendars are scoped separately.

If you need the page, calendar and follow-up together, compare the Booking & follow-up package at $597. Software and message charges are confirmed separately in the quote.

Start by writing down your current steps. Then fix the first one you cannot verify.

What is a website inquiry?

A website inquiry is a message someone sends through your site to ask about your services, availability or pricing. It is a request for information, not a confirmed booking or an agreement to buy.

What is the difference between a receipt and a personal reply?

An automatic receipt confirms that a submission arrived. A personal reply answers the question or asks for the detail you need to help. Keep those steps separate so an automatic email is not mistaken for a completed response.

Do I need an automatic email receipt?

It can be useful when you cannot reply immediately. First make sure the on-page confirmation is accurate and the inquiry reaches someone who will review it. Add an email receipt when you can maintain and test it.

How quickly should I promise a personal reply?

Use a time frame you can keep during your normal working week, including days you are teaching or with clients. Name working days clearly. Review the promise if your availability changes.
